Call for Speakers

The Call for Speakers opened on Monday, June 11, 2018. The submission deadline was Monday, August 13, 2018.  The Call for Speakers is now closed. Notification letters will be sent by October 25 – November 1, 2018.

Please see below for speaker benefits. *Please note that not that all submitters will be labeled as a Primary Speaker and will be able to see each task. Primary speakers will have access to all tasks.  If you are not a primary speaker please update in the Speaker Resource Center.  For login access and questions pertaining to completion of tasks, please contact annual@apic.org.


Call for Abstracts 

The Call for Abstracts opened on Monday, October 15, 2018. The submission deadline is Monday, December 17, 2018. Notification letters will be sent February 27 – March 6, 2019.  Note: Poster and  Oral Presenters do not receive reimbursement for conference costs such as registration, housing, transportation, etc.

Speaker Benefits Policy

Speakers will receive a complimentary one-day registration with speaker name badge OR one (1) reduced full conference registration pass for a fee of $300.

All speakers for accepted 60-minute, 30-minute, and Workshop sessions are entitled to the following:

For U.S.-Based Speakers:
Travel reimbursement is defined as:

  • **Round-trip coach airfare, gratuities, baggage fees and ground transportation to and from the airport with a combined total reimbursable amount of no more than *$750. Please make your flight reservations at least 30 days prior to June 12, 2019 to get the best rate. Note: any receipt indicating a non-coach airfare may be rejected or additional information may be required for reimbursement eligibility.
  • Two (2) nights stay at an APIC conference hotel, to be arranged directly through the APIC housing task. Note: hotel costs are not included in the $750 reimbursable amount.  This is a separate cost that will be paid by APIC. Please be prepared to pay for your hotel stay and save the receipts. You will then be reimbursed by APIC against the submitted receipts. ALL reimbursable speakers are required to book their hotel through the link located in the Speaker Resource Center (Cadmium). Hotel confirmations will be sent after the hotel task is completed.

For International (Non-U.S. Based) speaker:
Travel reimbursement is defined as:

  • **Round trip coach airfare, gratuities, baggage fees and ground transportation to and from the airport with a combined total reimbursable amount of no more than *$1,000. Please make your flight reservations at least 30 days prior to June 12, 2019 to get the best rate. Note: any receipt indicating a non-coach airfare may be rejected or additional information may be required for reimbursement eligibility.
  • Four (4) night’s stay at an APIC conference hotel, to be arranged directly through the APIC housing task.  Note: hotel costs are not included in the $1,000 reimbursable amount. This is a separate cost that will be paid by APIC. Please be prepared to pay for your hotel stay and save the receipts. You will then be reimbursed by APIC against the submitted receipts. ALL reimbursable speakers are required to book their hotel through the link located in the Speaker Resource Center (Cadmium). Hotel confirmations will be sent after the hotel task is completed.

*Note that all monetary values are in U.S. dollars.
** Additional fees such as early check-in fees, exit row fees, and/or car service fees will not be reimbursed.  (Uber/Lyft is reimbursable for airport transportation only.)


Registration Cancellation Policy

All registration cancellations and refund requests must be made in writing by May 6, 2019. An 80 percent refund of registration fees will be given for cancellations received by that date. No refunds will be granted for requests date-stamped after May 6, 2019. Submit all requests to APIC Annual Conference registration via email at annual@apic.org. APIC regrets that refunds will not be given for no-shows. All requests for exceptions to the cancellation/refund policy must be submitted in writing by the registrant with appropriate documentation no later than June 28, 2019. After that time, no refund considerations will be made. Substitutions within this program are gladly accepted. A substitution of your full registration is permitted prior to the conference by submitting a written request to annual@apic.org. Onsite transfers are not permitted. Only one substitution is permitted per original registrant. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution before the change can be made. Badge sharing, splitting, and reprints are strictly prohibited.


APIC Speaker Reimbursement Policy
  1. APIC does not reimburse for meal expenses.
  2. Any expense item not listed in the “speaker benefits” section is not covered by APIC and is not considered a reimbursable expense.
  3. To be eligible for reimbursement, you agree to input your speaker reimbursement using the official APIC forms provided and return it by the deadline. A reimbursement form and instructions will be provided as a task for any reimbursable speaker to complete.
  4. Speaker benefits cannot be combined with any other benefits and are awarded per presenter, not per session. Presenters speaking on more than one session will only receive one (1) set of benefits.
  5. Moderators do not receive speaker benefits or any reimbursement for costs incurred.
  6. Poster and oral presenters do not receive speaker/presenter benefits or any reimbursement for costs incurred.
